1. Residential Service Scope and Pricing
Our standard residential rates cover routine lawn maintenance services, including mowing, string trimming, edging, and hardscape blowing, on residential properties with standard grades safe for routine mower operation and accessible gates. Properties featuring severe slopes, heavy landscaping obstacles, narrow gates, or extreme overgrowth require a custom assessment and separate agreement before work begins.
2. Commercial Properties
Commercial, industrial, and multi-family properties are not covered by our residential rates and require a custom site assessment. All commercial maintenance agreements are handled through tailored quotes and individual contracts specific to the property site.
3. Project and Additional Services
Services outside of routine maintenance are billed through custom project estimates or hourly labor rates rather than standard flat-rate pricing. This category includes, but is not limited to, landscaping, cleanups, pressure washing, seasonal work, and any other custom property improvements or outdoor services.

Debris and Disposal Limits: All hauled materials must strictly comply with City of Clarksville and Montgomery County landfill and transfer station regulations. Material types and volumes are restricted to what was agreed upon in the project quote. Prohibited items include hazardous waste, chemicals, liquid paints, motor oil, asbestos, tires, unaccepted electronics, appliances containing Freon unless properly certified, and any materials restricted by local municipal waste facilities. The client assumes full liability and financial responsibility for any prohibited items concealed within the debris, including any municipal fines, environmental penalties, or additional disposal fees incurred.

Property and Equipment Protection: Due to the weight of equipment, tools, and trailers used for project services, minor turf or ground wear may occur. We take reasonable precautions, but property owners acknowledge and accept normal ground disturbance associated with heavy project work.
4. Property Access and Preparation
We take great care to inspect the property and protect your landscape, structures, and property during our work. However, clients are also responsible for preparing the property prior to the scheduled service day. We are not responsible for pre-existing damage, hidden objects, underground lines, or hazards that could not be reasonably seen during our initial inspection.

Gates and Entry: Please ensure all gates are unlocked and accessible for equipment and crew members.

Yard Obstructions: Remove all toys, dog waste, hoses, lawn furniture, and portable items from the turf area before we arrive. We do not move personal items.

Children and Pets Safety: For the safety of everyone, children and pets must be kept strictly indoors and away from the work area while equipment is running or services are being performed. We reserve the right to immediately suspend service if children or pets are present outside.

Vehicle, Equipment & Property Impact: Whenever feasible, we prefer to park on public streets rather than customer driveways or turf. However, performing property care requires the use of commercial trucks, heavy trailers, and zero-turn mowers. Property owners acknowledge and accept that normal operational wear and tear may occur, including but not limited to: minor turf scuffing or tire ruts (especially during wet conditions or tight turns), trailer scraping on steep driveways or transitions, and minor fluid drips or surface marks from equipment engines or fuel handling. While we take every reasonable precaution to protect your property, Trusty Roots Property Care is not responsible for normal ground wear, turf recovery, or surface stains resulting from standard equipment operation.

Inaccessible Yards & Trip Fees: If we arrive for a scheduled service and cannot access the property due to locked gates, unsecured pets, safety obstacles, or being unable to reach you after a reasonable communication attempt, we reserve the right to skip the service and assess a trip fee equal to the scheduled service rate for that visit. For accounts without a card on file, this fee will be billed to your next invoice and must be paid in full before we return for your next scheduled service.

Any claims of property damage or missed areas must be reported within 48 hours of service completion to allow for prompt inspection and resolution.
5. Weather and Schedule Adjustments
Mother Nature can impact our operating schedules. Rain, heavy storms, extreme temperatures, or saturated soil may cause delays. When weather disruptions occur, we shift our schedule and resume services as quickly as safety and turf health allow.
6. Payment Terms
Payment is due in full upon the completion of each individual service visit or project milestone according to the terms outlined on your invoice.

Accepted Payment Methods: For residential clients, we accept cash and secure digital payments processed through our payment provider, Stripe (including major credit and debit cards, cards on file, Apple Pay, and Google Pay). Please note that personal or business checks are not accepted for residential accounts. For commercial clients, we accept cash, approved checks, and electronic payments.

Pricing & Processing Fees: Our standard flat-rate and quoted prices reflect our direct payment rates. For residential payments made via credit card, digital checkout links, or automated card-on-file billing through Stripe, a standard payment processing fee will apply and be added to the invoice total.

Past Due Accounts: Past-due accounts may result in a temporary suspension of future service visits until all outstanding balances, including any processing fees, are fully resolved.
7. Service Changes and Cancellations
You may pause, skip, or cancel your service visits by providing at least 24 hours' notice prior to your scheduled service day. Whenever possible, please avoid same-day requests so we can adjust our routes smoothly. Any extra labor or add-on services requested on site must be approved directly with us and will be billed at agreed hourly or flat rates.
